JOB SUMMARY

Vaughan’s leading hotels are seeking a dedicated Sales Coordinator whom is passionate about progressing their career in the Hospitality industry on a full-time basis at the Element Vaughan Southwest Hotel. The Sales Coordinator role is key to the hotel’s success. As the primary liaison between the guest, sales team, front desk and food & beverage team, this role requires focus, efficiency, excellent communication skills and detail-orientation. For an individual who loves to balance administrative and guest interaction, this role is worth exploring.

JOB REQUIREMENT

  • Reporting to the Area Director of Sales and Marketing, the ideal candidate will perform a variety of administrative duties for the Sales Team and General Manager which includes, but not be limited to the following:
  • Demonstrate excellent time management, proactive planning and organization with a focus on details
  • Work diligently to complete assigned tasks and responsibilities including but not limited to: preparing contracts, managing room blocks, reporting, client notification of key dates such as cut-off or payment schedule deadlines, event order and BEO’s, billing details, and other integral administrative aspects of group and event bookings
  • Assist in qualifying group & catering leads and assigning to the appropriate sales manager
  • Conduct client site inspections of properties and prepare welcome amenities as needed
  • Prepare weekly group block review, history and forecast, daily availability and month end reports
  • Assist with rate loading, balancing inventory, creating booking links and maintaining accurate group blocks in sales systems (Salesforce, CI/TY) as well as Opera and Lightspeed
  • Participate in Sales initiatives such as weekly GM sponsored BBQ Receptions, sales blitzes, site inspections, client meetings, etc.
  • Prepare for and participate in all necessary internal meetings, conference calls, reporting, planning, training and other administrative duties as required for this position
  • Obtain and record group commissions and points; process accordingly

QUALIFICATIONS:

  • 1 year or more experience within the hospitality industry (hotel sales preferred)
  • Ability to communicate in the English language both written and verbal
  • High School Diploma or equivalent, college degree preferred.
  • Proficient computer skills including but not limited to Microsoft Word, Power Point, Excel, and Outlook. Salesforce and CI/TY experience an asset
  • Ability to work independently and as part of a team.
